This notice explains how Rem Assistance Inc. ("Rem Assist," "we," "us," or "our") processes your information when you visit remassistance.com, book a consultation, engage our remote teams, apply to work with us, or interact with us through sales, marketing, or events. If you do not agree with it, please do not use our services. Questions go to privacy@remassistance.com.

Contact and business details you give us, payment details processed by Stripe, and technical data your browser sends automatically.
Only where necessary and permitted — government identifiers and financial data in a contracting or onboarding context, with your consent.
Rem Assist has not sold or shared personal information for monetary consideration, and does not intend to.
We do not buy personal information about you from data brokers. We share only with vetted service providers under written contract.
Under an ISO/IEC 27001-aligned information security management system, with access control, MFA, and a maintained risk register.
Access, correct, delete, port, or object — email privacy@remassistance.com and we act within the deadlines the law gives you.
1. What information we collect
In short: what you give us, what our systems record automatically, and — in a service context — what our teams handle on behalf of our clients.
Information you give us
We collect what you voluntarily provide when you book a consultation, request a proposal, sign an engagement, apply for a role, or contact support. Depending on the context, that may include:
- Name, job title, and company name
- Email address, phone number, and mailing or billing address
- Usernames, authentication data, and contact preferences
- Details of the work you want performed, so we can scope a pod
Sensitive information
Where necessary and with your consent — or as otherwise permitted by law — we process government identifiers (such as tax or social security numbers) and financial data. This arises in contracting, invoicing, and background verification, not from browsing our website. Account login credentials and the contents of messages you send us are treated as sensitive personal information and are used only to deliver the service you asked for.
Payment information
Card and payment instrument data is collected and stored by Stripe under their privacy notice. Rem Assist does not store full card numbers on its own systems.
Information collected automatically
When you visit our site, our servers and analytics tools record technical data that does not by itself identify you:
IP address, timestamps, pages viewed, referring URLs, searches, feature usage, and error reports.
Browser type and settings, operating system, hardware model, language, and network provider.
Country and region derived from your IP address. You can refuse precise location at the device level.
2. How we use your information
In short: to run the engagement, keep it secure, improve it, and comply with law.
- Deliver the service. Scope your pod, staff it, onboard agents, and run the work you contracted for.
- Create and manage accounts. Authenticate you and keep access working.
- Respond to you. Answer inquiries, provide support, and resolve issues.
- Administer the relationship. Send invoices, service notices, and changes to terms or policies.
- Marketing, with your preferences respected. Send offers and updates you can unsubscribe from at any time.
- Protect the service. Monitor for fraud and abuse, and maintain the security controls described in section 7.
- Improve what we offer. Understand usage trends and measure whether our campaigns are useful.
- Meet legal obligations and, in rare cases, protect someone's vital interests.
We do not use your personal information to train third-party AI models, and we do not make decisions producing legal or similarly significant effects about you by automated means alone.
3. Legal bases we rely on
In short: consent, contract, legitimate interests, legal obligation, or vital interests.
If you are in the EU or UK, the GDPR and UK GDPR require us to name the legal basis for each use. We rely on consent (which you may withdraw at any time), performance of a contract, legitimate interests (improving the service, preventing fraud, and relevant marketing, where those interests do not override your rights), legal obligations, and vital interests.
If you are in Canada, we rely on your express or implied consent, and in limited cases process without consent where PIPEDA permits it — for example, fraud investigation, insurance claims, or compliance with a subpoena or court order.
6. How long we keep your information
In short: only as long as we need it, then deleted or anonymized.
We keep personal information only for as long as necessary for the purposes in this notice, unless a longer period is required by tax, accounting, or other legal obligations. As a general rule:
- Prospect and inquiry data — up to 24 months after our last contact.
- Account and engagement records — for the life of the account, then as required by law.
- Invoices and financial records — seven years, per applicable tax rules.
When we no longer have a legitimate business need, we delete or anonymize the data. Where that is not immediately possible — for example, information already written to backup archives — we isolate it from further processing until deletion is possible.
7. How we keep your information safe
In short: an ISO/IEC 27001-aligned security program — though no system is ever perfectly secure.
Rem Assist is certified to ISO 9001 (Quality) and ISO/IEC 27001 (Information Security). We maintain an information security management system with a live risk register, named risk owners, and scheduled review. Controls include:
Least-privilege access, enforced multi-factor authentication, and quarterly access reviews.
Data encrypted in transit and at rest across our managed systems and cloud providers.
Background checks, confidentiality agreements, security training, and documented BYOD rules for remote agents.
A documented response plan, with notification to affected parties and regulators within legally required timeframes.
Despite these measures, no transmission over the internet or storage technology can be guaranteed to be one hundred percent secure. Transmission of personal information to and from our services is at your own risk, and you should only access the services from a secure environment.
8. Data our teams handle for clients
In short: when our agents work inside your systems, you are the controller and we are the processor.
Our agents often work inside a client's own CRM, helpdesk, or billing tools, which means they encounter personal information belonging to that client's customers. In those engagements the client determines the purposes and means of processing and Rem Assist acts on documented instructions only, under the terms of the engagement and any data processing agreement. We do not use client customer data for our own marketing, and we return or delete it at the end of the engagement on the client's instruction. If you are the customer of one of our clients and want your data handled differently, contact that company directly — we will support their request.
9. Information from minors
In short: we do not knowingly collect data from anyone under 18.
Our services are directed to businesses, not children. By using them you represent that you are at least 18, or the parent or guardian of a minor who is consenting on their behalf. If we learn we have collected data from someone under 18, we will deactivate the account and promptly delete the data. Tell us at privacy@remassistance.com if you believe that has happened.
10. Your privacy rights
In short: you can see it, fix it, move it, delete it, or tell us to stop.
Depending on where you live, you may have the right to:
- Know whether we process your personal information and request a copy of it
- Correct inaccurate or outdated information
- Request deletion, subject to legal exceptions
- Restrict or object to certain processing, including profiling and targeted advertising
- Receive your data in a portable format
- Withdraw consent at any time, without affecting processing already carried out
- Limit our use and disclosure of sensitive personal information
- Not be discriminated against for exercising any of these rights
Email privacy@remassistance.com with the request and the email address associated with your records. We verify identity before acting — usually by matching information we already hold, or contacting you on a channel you previously gave us. We only use what you send for verification and delete it afterwards.
We respond without undue delay and within 45 days, extendable once by another 45 days where reasonably necessary — we will tell you if that happens. Opt-out requests are actioned within 15 days. Authorized agents must provide proof of authority.
To stop marketing, use the unsubscribe link in any email, reply STOP to any SMS, or email us. We may still send service messages necessary to administer your account.
11. Region-specific rights
In short: additional rights if you are in California, Virginia and similar states, the EEA or UK, or Canada.
We collect the categories described in section 1 — identifiers, customer records, commercial information, internet activity, approximate geolocation, professional information, and the sensitive category of account login credentials and message contents. We use them for the purposes in section 2 and retain them as described in section 6.
Rem Assist has not sold or shared personal information for monetary or other valuable consideration in the preceding twelve months, and does not sell the personal information of minors. You have the rights to know, delete, correct, limit the use of sensitive personal information, and non-discrimination. Under the "Shine the Light" law you may request, once a year and free of charge, details of any personal information disclosed for direct marketing purposes.
California residents under 18 with a registered account may request removal of content they posted publicly.
If you are a resident acting in an individual or household capacity, you may confirm whether we process your data, access and correct it, request deletion, obtain a portable copy, and opt out of targeted advertising, sale, or profiling with legal or similarly significant effects. Rem Assist does not sell personal data and will not do so in the future.
Right to appeal. If we decline a request we will explain why. You may appeal by emailing privacy@remassistance.com; we respond in writing within 60 days. If the appeal is denied you may complain to your state Attorney General.
You have the rights described in section 10 under the GDPR and UK GDPR. If you believe we are processing your information unlawfully, you may complain to your Member State supervisory authority, the UK Information Commissioner's Office, or the Swiss Federal Data Protection and Information Commissioner.
You may withdraw consent at any time and request access to your personal information under PIPEDA. Limited exceptions apply where the law permits processing without consent, as described in section 3.
12. SMS and mobile information
In short: your opt-in never leaves Rem Assist.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent are excluded from all other sharing categories described in this notice and will not be shared with any third party. Reply STOP to any message to opt out; message and data rates may apply.
13. Changes to this notice
We update this notice as our practices and the law change. The revised version is effective as soon as it is posted, and the "last updated" date at the top will change. If we make material changes we will post a prominent notice or contact you directly. We encourage you to review it periodically.
